    Privacy Policy

    Last updated: October 2026

    1. Introduction

StockAccounter ("we", "us", "our") provides a cloud-based platform that helps accounting firms automate the processing of securities broker transaction files into accounting journal entries. This Privacy Policy explains how we collect, use, and protect your information when you visit our website (stockaccounter.com) and when you use our platform.

    2. Information We Collect

    On our website

Contact Form: When you submit the contact form, we collect your name, email address, company (optional), phone number (optional), the topic you select, your message, and the language version of the site you used. We also record the time of submission.

Website Analytics: We use Google Analytics 4 to understand how visitors use the website. Google Analytics collects information such as pages viewed, how far you scroll, which buttons you click, whether you submit the contact form, referring website, approximate location (derived from your IP address), device, and browser type. Google Analytics sets cookies to distinguish visitors.

Language Preference: We store a small cookie (sa_lang) that remembers whether you prefer the Norwegian or English version of the site.

    On the platform

Account Information: When you sign up, we collect your email address, full name, and workspace name. If you provide a company website URL, we store that as well.

Team Member Information: When workspace administrators invite team members, we collect the invited person's email address and, upon acceptance, their full name.

Client and Broker Data: You may enter information about your clients (company name, country, currency, VAT number) and their broker accounts (broker system, ERP system, account identifiers). This data is stored within your workspace.

Transaction Data: When you upload batch files (CSV or XLSX), we parse and store the transaction records contained in those files. This may include security names, ISINs, ticker symbols, quantities, prices, dates, and other transaction details as provided by the broker platform.

Instrument Data: We query third-party financial data providers (such as EODHD) to resolve and enrich instrument information. Resolved instrument data (ticker, exchange, ISIN, instrument type) is cached to improve performance.

Profile and Workspace Branding: We store profile pictures (avatars) and workspace logos that you upload, as well as workspace display preferences such as accent colors.

Usage and Billing Data: We track credit consumption, purchase history, and subscription plan information for billing purposes.

Activity Logs: We maintain an audit trail of key actions performed within your workspace (such as batch uploads, client creation, and team changes) for accountability and troubleshooting.

    3. How We Use Your Information

    • To respond to inquiries submitted through the website contact form
    • To measure and improve the website and our marketing (Google Analytics)
    • To provide, operate, and maintain the StockAccounter platform
    • To process and parse broker transaction files into journal entries
    • To resolve financial instruments against market data providers
    • To manage workspace billing, credits, and subscription plans
    • To send transactional emails (invitations, password resets)
    • To display activity logs and audit trails within your workspace
    • To improve our platform and troubleshoot issues

    4. Data Isolation and Multi-Tenancy

Each workspace is fully isolated. Row-level security policies ensure that users can only access data belonging to their own workspace. Administrators cannot see data from other workspaces. Team members within a workspace share access to that workspace's clients, brokers, batches, and transactions.

    5. Third-Party Services

We use the following third-party services:

    • Google Analytics (Google Ireland Ltd.): Website usage statistics as described above. Data may be transferred to and processed in the United States under Google's data transfer safeguards. See Google's privacy policy. You can opt out with the Google Analytics opt-out browser add-on or by blocking cookies in your browser.
    • Internal notifications (Slack and email): When you submit the contact form, the details you provide are forwarded to our team via Slack and email so we can follow up.
    • EODHD API: For financial instrument resolution, price data, and exchange information. We send instrument identifiers (ticker symbols, ISINs) to this service. Please review EODHD's privacy policy for their data handling practices.
    • Email delivery service: For sending invitation and password reset emails containing your email address and invitation tokens.

    6. Cookies

The website uses the language cookie (sa_lang), which is necessary to remember your language choice, and Google Analytics cookies (such as _ga), which are used for statistics. Google Analytics cookies are only set after you accept them in the cookie notice. If you decline, Google may still receive anonymous, cookieless measurement signals. You can change your choice by clearing your browser's site data, and delete or block cookies in your browser at any time.

    7. Data Storage and Security

Your data is stored in secure, managed cloud infrastructure. All data is transmitted over encrypted connections (TLS). Authentication is handled via industry-standard protocols with hashed passwords. Access to your data is controlled by role-based permissions (user, admin) and enforced at the database level.

    8. Data Retention

We retain your data for as long as your workspace is active. Archived clients and brokers remain in the system but are hidden from default views. Contact form submissions are kept for as long as needed to follow up on your inquiry and any resulting customer relationship. Google Analytics data is retained according to the retention period configured in Google Analytics (maximum 14 months). If you wish to have your data deleted, please contact us.

    9. Your Rights

    You may:

    • Request access to, correction of, or deletion of the information you submitted through the contact form
    • Object to processing for analytics purposes
    • Access and update your profile information at any time
    • Request export of your workspace data
    • Request deletion of your account and associated data
    • Manage team member access within your workspace

Our legal basis for processing contact form data is our legitimate interest in responding to your inquiry (GDPR Art. 6(1)(f)), and for analytics our legitimate interest in improving the website. You also have the right to lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet).

    10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice within the platform.
